HR Coordinator

Key responsibilities

  1. Helping with general HR administrative duties
  2. Supporting the Head of HR and Senior HR Officer
  3. Support onboarding and offboarding processes
  4. Assist in recruitment coordination (scheduling interviews, preparing offers etc.)
  5. Liaising with internal and external parties when instructed
  6. Uploading relevant job descriptions to the firm’s intranet
  7. Maintaining HR files and archiving whenever necessary and data entry
  8. Updating the Branch’s organisation chart
  9. Assisting with general compliance administrative tasks and queries
  10. Helping with annual self-certification process, carrying out Google searches, chasing DBS certificates and securely filing as appropriate
  11. Maintaining staff relating information on ACCORD and notifying the Compliance department of changes affecting certified members of staff and Senior Managers
  12. Horizon scanning for people management matters, including conduct
  13. Processing absences on the Branch’s system and collecting/filing relevant medical or self-certificate forms as appropriate
  14. Headcount and salary benchmarking, HR data reporting, including INDIV/Head Office
  15. Assist in arranging the Annual Flu Jabs and Annual Health Assessments
  16. Administrative support with the online payroll system (ADP)
  17. Updating monthly staff number spreadsheets, including emailing the relevant protected spreadsheet to the Accounts department on a monthly basis
  18. Helping with electronic and physical documents filing/securing files with password protection

Experience Required

  1. Relevant University Degree and/or certification (e.g. CIPD Level 3)
  2. Experience of HR in an International Bank
  3. Previous experience in Payroll ideally ADP
  4. Discrete and trustworthy when handling confidential information
  5. Ability to manage and prioritise numerous duties and deadlines simultaneously
  6. Strong attention to detail
  7. Good organisational, interpersonal and communication skills
  8. Strong understanding of UK Employment Law
  9. Knowledge of FCA regulations and compliance requirements (desirable)
  10. Excellent organisational and interpersonal written and verbal communication skills
  11. Proficiency in MS Office Suite (Word, Excel, PowerPoint, Visio)
  12. Team Player with a proactive attitude
